Volunteering for Plymouth 400 is a fantastic way to invest in the community, work side-by-side with some wonderful people, and be a part of the Plymouth 400 legacy. Don’t let history pass you by!

Plymouth 400 hosts volunteer training sessions to provide our volunteers with a detailed overview of our organization, the plans for 2020, and current events and happenings. Sessions last approximately one hour and provide volunteers with an opportunity to ask questions of the staff and volunteer coordination team.

There are plenty of opportunities to lend your time and talents to the 2020 Commemoration. See below our full list of volunteer teams and their respective tasks. If you'd like to be a part of a specific team, email us at info@plymouth400inc.org and let us know, or join us at the next Volunteer 101 Session on March 22 at 7pm and sign up in person for a team.

Volunteer Team: Volunteer Management Team

Volunteer Team Lead: Julie Briell

Volunteer Team Description: The Volunteer Management Team is responsible for coordinating the volunteer ‘workforce.’ The team’s work includes maintaining the volunteer database; publishing dates for volunteer training opportunities; advertising and filling volunteer opportunities; obtaining assistance to carry out ad hoc tasking; tracking volunteer hours; recognizing volunteers’ contributions with awards and appreciation events; maintaining a volunteer page on the Plymouth 400 website; building event-specific volunteer rosters or shift schedules; ensuring regular or as-needed communication with volunteers, and more.

 

Volunteer Team: Student Coordination Team

Volunteer Team Description: The Student Coordination Team is responsible for engaging with both student volunteers and Plymouth Public Schools.  The team’s work includes maintaining a student volunteer database; advertising and filling student volunteer opportunities; obtaining student assistance to carry out ad hoc tasking; tracking student volunteer hours; recognizing student volunteers’ contributions with awards and appreciation events; ensuring regular or as-needed communication with student volunteers; employing particular groups of students (e.g. Class of 2020, AP History, Boy/Girl Scouts, et al); planning for and executing the International Chorus; assisting Plymouth Public Schools with 2020 initiatives, and more.

Volunteer Team Description: The Event Facilitation Team is responsible for coordinating event logistics.  The team’s work includes scheduling and confirming event dates, times of day, venues, locations; reserving hotel rooms; coordinating/securing event stage, podium, sound system, tables, chairs, caterers, bartenders, vendors, licenses, permits, notifications/approvals, speakers, scripts, supplies, transportation, tents, banners, etc; facilitating event set up and break down, selling raffle tickets and managing the raffle drawing and prizes; staffing check-in or information tables; handing out promotional materials, and more.

Volunteer Team Description: The Staging and Decorating Team is responsible for coordinating event venue layout and decor.  The team’s work includes planning for event decor; proposing the event layout; developing a setup and decor budget proposal; purchasing supplies; assembling and pre-staging materials; decorating the event site; breaking-down, recycling, disposing of, and/or storing decor; and more.

Volunteer Team Description: The Parking Team is responsible for managing Plymouth 400 event parking.  The team’s work includes coordinating crossing guards with the Town of Plymouth Police Department; assigning parking attendant locations; purchasing/distributing parking attendant safety vests; briefing the parking plan to attendants; obtaining/placing parking cones; reserving and marking VIP parking spaces; obtaining/distributing radios, and more.

Volunteer Team Lead: Camilla Bosanquet

Volunteer Team Description: The Outreach Team is responsible for engaging in a wide-range of outreach activities.  The team’s work includes working with Business and Organizational Partners, Faith and Spiritual groups; government officials, military entities, and Plymouth 400 Committees/Subcommittees; facilitating presentations before a wide variety of audiences concerning Plymouth 400 goals and needs; soliciting for Plymouth 400 volunteers; writing articles for area newspapers; and more.

 

Volunteer Team: Incident Management Coordination Team

Volunteer Team Description: The Incident Management Coordination Team is responsible for making notifications to cognizant emergency management partners and providing on-site personnel to facilitate notifications to emergency responders in case of an incident.  The team’s work includes making event notifications to emergency management partners; preparing and pre-staging limited and appropriate emergency equipment (e.g. extinguishers, flashlights, first aid kits); deploying a “safety team” with clear instructions regarding limited response and how-to activate on-call emergency responders; properly outfitting safety personnel with vests, radios, lights, and etc; and more.

Volunteer Team Description: The Parade Participation Team is responsible for coordinating Plymouth 400 parade participation.  The team’s work includes working with both the 4th of July and America’s Hometown Thanksgiving parade organizers to determine requirements for parade participation, build or improve upon the Plymouth 400 float, ensure representation in associated programs or communications materials, and more.

 

Volunteer Team: Licensing Legal Team

Volunteer Team Description: The Licensing Legal Team is responsible for coordinating licensing, broadly.  The team’s work includes exploring licensing agreements; fielding licensing inquiries; ascertaining the particulars of licensing requests; counseling the Plymouth 400 staff on licensing, generally; developing the criteria for granting licenses; vetting and recommending products; developing/preparing/executing licensing agreements; maintaining awareness of actively-licensed retail products, and more.

 

Volunteer Team: Merchandise Sales Team

Volunteer Team Description: The Merchandise Sales Team is responsible for managing Plymouth 400 merchandise.  The team’s work includes inventorying in-stock merchandise; maintaining well-organized merchandise while stored; maintaining the online merchandise store; reordering merchandise; proposing new items, including seasonal merchandise; working with vendors to design new gear; placing orders for, receiving, and inventorying new merchandise; working with the Event Facilitation Team to establish and run the merchandise tent; facilitating sales at events, i.e. receiving/counting money; re-packing inventory following events; special-ordering volunteer apparal, and more.

 

Volunteer Team: Administrative Support Team

P400 Staff Advisor: Kellie Parham

Volunteer Team Description: The Administrative Support Team is responsible for supporting the Plymouth 400 staff.  The team’s work includes learning and running the Client Record Management (CRM) database; filing paperwork; preparing mailings; researching online; performing as-directed administrative work, and more.

Volunteer Team Description: The Marketing Support Team is responsible for augmenting Plymouth 400’s marketing initiatives.  The team’s work includes assisting the Plymouth 400 staff with designing and ordering promotional posters, flyers, pamphlets, etc; assembling packets for distribution; distributing materials to area businesses and groups; handing out flyers and pamphlets; identifying future opportunities for marketing; staffing event information tables, and more.

Volunteer Team Description: The Media Support Team is responsible for augmenting Plymouth 400’s communications and public relations initiatives.  The team’s work includes securing photographers and videographers for events; creating website content and writing copy; creating content for Twitter, Instagram, Facebook, and other social media platforms; liaising with the media, and more.

Volunteer Team Description: The Education Team is responsible for coordinating Plymouth 400 public education initiatives, broadly.  The team’s work includes facilitating logistics for exhibits, archiving historical commemoration materials, coordinating with Plymouth Public Schools, and more.
